Program Coordinator
Department of Electrical and Computer Engineering The Grainger College of Engineering University of Illinois Urbana-Champaign The Department of Electrical and Computer Engineering in The Grainger College of Engineering seeks applicants for a Program Coordinator position. This position coordinates Grainger Center for Electric Machinery and Electromechanics (CEME) activities and provides administrative support for the Director.
Duties and Responsibilities: Grainger Center for Electric Machinery and Electromechanics (CEME) activities: - Coordinates regular and annual CEME activities including annual and interim reports, research with collaborating universities, associated seminar announcements, Grainger Undergraduate Leadership Awards, and Grainger Power Engineering Awards and banquet.
- Maintains official records of the CEME as required by the University of Illinois and Department.
- Provides administrative leadership for workshop and conference activities conducted by and within the CEME and for Director-led conferences outside the CEME. Handles CEME correspondence.
- Provides outreach activities for the CEME, interacting with clientele and managing external contacts.
- Maintains Director's calendar, arranges meetings, and keeps Director abreast of impending deadlines and both screens and handles messages filtered by the Director. Assists the Director with internal and external professional and CEME-related public service activities. Tracks submission dates for major conferences. Corresponds with and keeps records of prospective graduate students, post-docs and others. Arranges stays for visitors-both long- and short-term and provides necessary information and support.
- Provides day-to-day administrative functions for the CEME, including billing, purchasing, expenditure tracking, and other tasks as assigned.
Coordinate center scale programs and research activities in support of the Director and Associate Directors: - Work with campus units, the ECE department development office, and others to identify agencies/foundations/departments as sources for proposal submissions.
- Work with the Director, campus, college and department units and various agencies on writing proposals.
- Follow through with the department to confirm fund administration and to prepare and deliver reports to funding agencies.
- Coordinated with the ECE grant office and assisting the CEME faculty and student on specific center related grants.
- Coordinates regular center scale activities including reports, associated seminar and meeting arrangements.
- Maintains official records of the center scale activities as required by the University of Illinois and Department.
- Provides administrative leadership for workshop and conference activities conducted by and within center scale activities.
- Provides outreach administration for center scale activities, interacting with clientele and managing external contacts.
Editorial, writing, proofing, and design, and CEME website: - Coordinates with the Corporate Relations Office and the Grainger College of Engineering to produce annual and interim reports, Calls for Papers, programs, schedules, and brochures and other publicity materials. Designs brochures, reports, and helps design and maintain relevant websites. Provides completed technical reports to the Engineering Documents Center, and archives and disseminates digital and paper copies.
- Assists the Director with presentations. Assists graduate students and others linked to CEME and other center scale activities in preparing project reports and documents. Writes, designs, updates, and disseminates information about various programs of the CEME and other center scale activities.
- Identifies campus resources and programs that complement or augment editorial and publication needs of the Director and recommends or refers graduate students and faculty, as appropriate.
- Write material about major CEME and other center scale activities: projects and initiatives.
Supervision: - Helps train and acclimate Power and Energy Group administrative professional(s) and other office workers and works with the group's administrative professional(s) on Power and Energy Group projects and meetings.
- Identifies changes in administrative support levels required for the Center and makes recommendations to the director for reductions and/or possible additional resources.
- Supervises student office workers employed by the CEME or other center scale activities.
Power and Energy Group and other administrative responsibilities: - Works with IT group and Power and Energy Group administrative professional(s) to establish and maintain databases related to student, faculty, and CEME records.
- Maintains job postings and conference information. Maintains unit identity and public materials for CEME and Power and Energy Group.
- Other duties as assigned.
Minimum Qualifications: - Bachelor's degree in business, accounting, finance, management, marketing, economics, business administration, technical writing, or closely related business field.
- A total of four (4) years (48 months) of experience in supervising, organizing, editorial or writing, coordinating or performing business or closely related activities.
- Demonstrated experience with LaTEX, and related design tools.
Knowledge, Skills and Abilities: - University rules and policies.
- Institute of Electrical and Electronics Engineers technical publication requirements.
- Basic knowledge of scientific communication employed in student and faculty research Skills.
- Proficient user of various software packages such as Microsoft Office Suite, Adobe tools.
- Technical writing for annual and interim reports.
- Ability to operate and maintain common office equipment.
- Ability to gather, process, and disseminate information.
- Ability to work efficiently, independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems.
- Ability to organize and supervise work of others.
- Ability to work effectively with the staff, faculty, students, constituents and the public, possessing cultural awareness, sensitivity and tact. APPOINTMENT INFORMATION This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $62,000 - 70,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. Hybrid work options may be available for this position, with the ability to be on-site at the University of Illinois Urbana-Champaign campus as needed per the University's Workplace Flexibility policy .
