Position Overview:

We are looking for an organized and proactive Office Administrator to join our growing team! Reporting to the Director of Human Resources, this role plays a key part in creating an efficient and welcoming environment while supporting daily office operations and assisting with recruiting activities. The ideal candidate is detail-oriented, a strong communicator, and able to manage multiple responsibilities in a fast-paced setting.

This is a part-time employment opportunity working in our Headquarters located in Boca Raton, FL. The work schedule for this position is on-site Monday through Thursday from 9am - 3pm.

Requirements

Qualifications:

  • Minimum of 2 years proven experience as an administrative assistant or office assistant
  • Strong communication and customer service skills 
  • Attention to detail and problem-solving skills
  • Highly organized with the ability to multitask effectively 

Responsibilities:

Office Maintenance & Support:

  • Ensure the office is well-maintained, manage inventory for office supplies and snacks, and coordinate with vendors for services like cleaning, maintenance, and coffee.
  • Manage conference rooms and meeting calendars; coordinate and set up employee events such as appreciation lunches and team meetings.
  • Greet visitors, handle meeting logistics, and ensure a positive experience for all guests.
  • Arrange travel for employees and candidates visiting HQ and business travel.
  • Coordinate, order, and set up monthly employee appreciation events (breakfasts & lunches). 

Employee & Candidate Support: 

  • Support new hires by ensuring they have necessary equipment and workspace setup.
  • Assist with scheduling interviews, preparing interview rooms, and providing candidates with a warm welcome.
  • Maintain employee records, assist with routine reporting, and support other HR-related administrative tasks as needed.

Vendor & Facilities Coordination:

  • Serve as the main point of contact for office vendors (e.g., plants, office equipment, and supplies), coordinating service needs and resolving any issues.
  • Place work orders for facilities-related needs and monitor resolution to keep the office running smoothly.

Culture and Engagement:

  • Help maintain a positive and inclusive workplace by embodying our values and fostering a welcoming environment.
  • Coordinate employee anniversary and recognition gifts, organizing them in line with HR guidelines.
