The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. Position Summary
Provides support to Assistant Dean for Curriculum, Clerkships. Will also receive direction from the Associate Dean for Academic Affairs. Provides administrative support to James Scholar Research Program.
Organizes medical education activities and prepares, develops, and/or maintains schedules. Establishes formal electronic records for Phase 2 clerkships and Elective evaluations.

Duties & Responsibilities
  • Assist Assistant Dean for Curriculum, Clerkships with all aspects of organization, including activity preparation.Schedule preceptors for Jump and Phase 2 Clinical Intersections sessions.Serves as initial student contact for M3 clinical events and coordination as well as general questions related to Phase 2/3 curriculum guidelines.Clerkship programs: order NBME shelf exams; support of Learning Mangaement Systems, Assessment software and Aquifer cases for Academic Affairs and Clerkship programs.Assist with coordination and logistics of Inter-professional Education Day(IPE)Creates formal electronic records for Phase 2 Clerkships and Phase 3 Elective evaluations and grade components.Coordinates and facilitates I0-day orientation program for approximately 70 studentsprior to transition to Phase 2/3.Central support for clerkship coordinators; tracking the submission of required experiences within clerkships for PeoriaAssist the Assistant Dean in tracking student's NBME exam schedule and absences.
  • Schedule evaluations based on curricular blocks released by the registrar.Compiles, organizes and prepares NBME Shelf Exam materials for Phase 2 clerkships.Provides proctor trainingSchedules proctoring support for Phase 2 NBME Shelf Exams.Administrative support of Peoria Phase 2/3 Task Force, M3 Progress Committee, Transition to Clerkships (T2C) Orientation CommitteeMaintains electronic/paper records for Transition to Clerkship Clinical Intersections,James Scholar, Inter-professional Education Day. Assures accuracy and completeness of records as required by accreditation standards.Assist with scheduling GCE when requested.
  • Organizes student meetings for Assistant Dean for Curriculum, Clerkships and James Scholar Program Chair to discuss academic concerns, evaluations, test records, research progress,etc.Assists department Administrative Aide with monitoring Phase 2/3 expenditures and exercise responsible use of UICOM TCard and PCard. Responsible for payment of NBME shelf exams, awards, catering and travel for Assistant Dean for Curriculum, Clerkships.
  • Perform other related duties and participate in special projects as assigned.

Minimum Qualifications
  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.


Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
