About the Role & Team

We're looking for an Executive Assistant to join our Walt Disney Imagineering Technology and Engineering team. This individual will be someone who shares our passion for creating unparalleled experiences that delight millions of guests worldwide.

The Executive Assistant role will support the Vice President, WDI Technology Studio Executive as well as a Director on the team. You will join a team of engineers, designers, artists and scientists who share a passion for solving hard problems. As an Executive Assistant, you are a key part of the support team that keeps Technology & Engineering building ground-breaking experiences. You are quick to respond, anticipating the needs of your executive, always staying one step ahead. You manage busy calendars as well as assist with on-site visits both for other Imagineers and top executives across the company.

What You Will Do

  • Manage schedules and coordinate meetings that often necessitate collaboration with multiple other executive calendars and their assistants

  • Greet guests and assist with special projects relating to guests/visitors

  • Screen and prioritize all incoming phone calls, mail and/or meeting requests

  • Create meeting agendas and circulate meeting materials

  • Coordinate both on-site and off-site workshops, events and demos, including internal and external partners, vendors, and collaborators.

  • Plan travel itineraries and make travel arrangements, including reservations for events and dining as needed

  • Prepare, compile and manage expense reports for travel following established company and travel policy guidelines

  • Support executives in preparing for presentations, company meetings and other key events to meet department’s strategic objectives

  • Assist with general department tasks, including conference room requests, ordering supplies, coordinating general maintenance and upgrades for office equipment, phones, computers, etc.

  • Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.

  • Track and support university and industry relationships

  • Create a positive environment for all who interact with Technology & Engineering Studio

Required Qualifications & Skills

  • 4+ years of executive administrative experience in a fast-paced and constantly changing corporate environment

  • Strong written and verbal communication and interpersonal skills and the ability to successfully interact with a wide range of Imagineers, senior executives, vendors and universities

  • Excellent computer proficiency - expert Outlook user, strong proficiency across Microsoft Office, Zoom and Slack

  • Willingness to experiment with new forms of asynchronous communication as our hybrid workstyle continues to evolve

  • Experience with billing and expense systems

  • Experience engaging with high-level company executives, virtually and to support in-person technology demos

  • Desire and ability to build strong relationships across Disney, with peers, executives and within the Technology & Engineering team

  • Excellent organizational skills and attention to detail with the ability to prioritize tasks and handle multiple tasks with set deadlines

  • Ability to handle confidential information and exercise good judgment and discretion while maintaining confidentiality of information and documents

  • Flexibility to work overtime as needed in urgent situations

Preferred Qualifications

  • Experience within the Walt Disney Company or experiences supporting executives in an entrepreneurial technology organization

  • Familiarity with Keynote

  • Experience with SAP and Concur

  • Interest in technology, robotics, and interactive experiences, and a passion for supporting a team of Imagineers who bring impossible things to life

Education

  • Required: High school diploma
