Executive Assistant to Head of Investor Relations

Location: San Francisco, CA (Remote)

Pay : $120-130k, depending on experience

Our client, a growing private equity firm, is looking for a highly organized and proactive Executive Assistant to support their Head of Investor Relations. This role is ideal for someone who thrives in a fast-paced environment and is passionate about supporting executive-level professionals in a dynamic and evolving industry.

Position Summary:

The Executive Assistant to the Head of Investor Relations will be a key partner in ensuring the efficient operation of the Investor Relations team. This individual will provide high-level administrative support, manage complex schedules, coordinate investor meetings, and facilitate effective communication within the team and with external stakeholders. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a strong ability to manage multiple priorities in a confidential and professional manner.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the Head of Investor Relations, including calendar management, travel arrangements, and expense reporting.
  • Meeting Coordination: Schedule and organize internal and external meetings, including investor calls, board meetings, and team events. Prepare and distribute meeting agendas, materials, and minutes as needed.
  • Investor Relations Support: Assist in preparing and distributing investor communications, presentations, and quarterly earnings materials. Manage and maintain the investor relations database and contact lists.
  • Event Management: Coordinate logistics for investor events, such as roadshows, conferences, and earnings calls. Manage event RSVPs, prepare event materials, and ensure smooth execution.
  • Communication: Act as a liaison between the Head of Investor Relations and internal and external stakeholders. Handle confidential information with discretion.
  • Project Management: Support special projects and initiatives led by the Head of Investor Relations, ensuring timely completion and alignment with strategic goals.
  • Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation.
  • Document Management: Prepare, edit, and proofread correspondence, reports, and presentations. Maintain organized filing systems for easy retrieval of documents.

Qualifications:

  • Bachelor’s degree or equivalent experience preferred.
  • Minimum of 7 years of experience as an Executive Assistant, with at least 3 years supporting senior executives in Investor Relations.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM systems.
  • Exceptional organizational and time-management skills with a high level of attention to detail.
  • Excellent verbal and written communication skills.
  • Proven ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Ability to work independently, prioritize tasks, and take initiative in a fast-paced environment.
  • Experience in event planning and coordination is a plus.
