Position Summary Carol Grotnes Belk Library at Elon University invites applications for the position of Archivist in the Elon University Archives & Special Collections. The successful candidate will build upon and extend a successful record of working to uncover and document the histories of underrepresented populations, make new and relevant collections accessible via online platforms, and support the research and teaching initiatives of faculty through reference, instruction, and collection development in line with archival best practices. We seek a librarian who is committed to cross-functional librarianship, interested in working in a creative and collaborative library environment, and eager to engage in the daily life of the university community. In particular, the Archivist will provide leadership and support for the activities of the Committee on Elon History and Memory as well as the development of the university's not-yet-launched IR program, in addition to other day-to-day archival tasks. Ideal candidates will have a demonstrated commitment to incorporating diversity and equity to support the inclusive climate within Belk Library and the Elon University community.
Responsibilities Include:
- Coordinates University Archives support to campus wide history, memory, and reparative research initiatives by
o Promoting historical resources to the campus community and beyond through community engagement and outreach activities, including physical and virtual exhibits, workshops, course instruction, and other programming, with emphasis on building strong community connections and creating opportunities for people to learn about the archives and Elon's untold histories.
o Advocating for reparative history work by recruiting and supervising student researchers, providing reference services to History and Memory Committee members, and seeking funding opportunities for archives-led projects.
o Serving as a committee member and engaging in administrative tasks for the History and Memory Committee by serving as first point of contact for campus communications, supporting committee events, managing major projects, coordinating and disseminating annual reports, and maintaining the committee's web presence.
- Contributes to the development of the archives' digital collections and manages the operations of the library's nascent institutional repository (IR) project in collaboration with the digital collections and systems librarian, with particular emphasis on
o Facilitating greater access to the university's rich historical and educational assets, particularly student and faculty research and open educational resources.
o Identifying, implementing, and maintaining new online resources relevant to the university's history and memory work, particularly primary resources that might be used to support faculty work in the classroom.
o Helping to establish sustainable IR workflows that adhere to library and archives best practices.
- Helps develop and implement strategic planning around inclusive archival description and other reparative archival activities aimed at building trust among historically marginalized populations in the university community and beyond.
- Engages in the identification, acquisition, assessment, arrangement and description, and preservation of archival material in all formats, with particular emphasis on materials from alumni, employees, and underrepresented communities at Elon.
- As a faculty librarian, serves as a member of a collaborative cross-functional library team, shares in evening and weekend reference responsibilities, and serves as a Personal Librarian for designated first-year students.
- Participates in professional development, the activities of regional, statewide, and/or national professional associations and University governance activities as appropriate for Staff with Faculty Rank; in particular, collaborates with other archivists on activities related to the Locating Slavery's legacies database and serves as an Elon representative to Universities Studying Slavery.
- Engages in the broader life of the Elon University community and the town of Elon to support deeper integration of Belk Library into the life of the campus its surroundings through appropriate committee work, support of student/faculty events, and/or service activities. This is a 12-month, on-site, non-tenured staff with faculty rank position reporting to the Coordinator of University Archives and Special Collections. - A master's degree from an ALA-accredited program in library and/or information science
- Successful experience with archival or manuscript collections or similar relevant experience, and knowledge and ability to apply best practices in archival theory, standards, and practices
- Demonstrated knowledge of current technological applications for managing and preserving digital objects
- Demonstrated project management skills and the ability to manage multiple priorities
- Demonstrated commitment to library public services, with particular emphasis on archival reference services for researchers of varying experience levels and outreach and engagement in the library and/or archives field
- Excellent oral and written communication skills

- Serves as a member of the Committee on Elon History and Memory. Provides administrative support to the committee, including managing and supporting committee projects and events, coordinating and disseminating annual reports, and maintaining the committee's web presence. Contributes to the outreach, marketing, promotion, and use of University Archives & Special Collections materials. Curates physical and virtual exhibits on topics related to Elon University history that promote archival and special collection materials. Writes articles or blog posts about collections, archival items, or topics related to the history of Elon University. Provides a depth of knowledge on Elon University history and actively engages with campus partners to enrich and support campus-wide initiatives.
- Manages the operations of the library's institutional repository in collaboration with the digital collections and systems librarian. Contributes to the development and implementation of policies, guidelines, and workflows related to the Archives & Special Collections digital collections in line with archival best practices. Identifies, implements, and maintains new online resources relevant to the university's history and memory work, particularly new primary resources that might be used to support classroom teaching. Engages the community to facilitate greater access to the university's digital assets, including student and faculty research and open educational resources.
- Utilizes archival expertise in the acquisition, appraisal, and preservation of manuscript and other designated collections related to Elon University history. Processes collections and artifacts in accordance with archival standards and best practices. Creates and maintains intellectual access to collections through appraisal, acquisition, arrangement, description, and discoverability. Manages electronic and physical records generated by the University. Supervises student workers in collaboration with the coordinator of University Archives & Special Collections.
- Serves as library liaison to assigned University departments. Collaborates with faculty in the areas of collection development, instruction, research assistance, and access to collections and information. Instruction: Collaborates with faculty in planning library/archival instruction sessions. Facilitates archival instruction to courses, departments, and University-affiliated groups related to Elon history and to collections contained within the University Archives & Special Collections. Collaborates with other liaison librarians to support efforts to incorporate archival materials into instruction sessions and activities. Creates course or subject specific research guides to support library instruction sessions. Teaches course related library instruction sessions either in library spaces or in the classroom. Sessions may be one-shot or extend over multiple sessions. Works to plan class sessions that are both accessible and inclusive in their presentations and methods. Creates interactive exercises and artifacts to use in the library instruction sessions to assess student understanding and engagement. Reflects on and assesses effectiveness of teaching through a variety of feedback mechanisms. Maintains contact with teaching faculty after the library instruction session. Meets with individual students from the classes to discuss research proposals and find supporting research materials (articles, books, data, statistics, etc.). Collection: Solicits faculty requests for materials to be purchased and added to the library's collection Purchases library materials at the request of teaching faculty in assigned liaison areas. Manages and balances liaison allocations to ensure that the needs of individual departments and programs are equitably met. Serves as intermediary between teaching faculty and library technical services staff for materials not available in Gobi. Notifies faculty of new materials added in their departmental or disciplinary areas. Utilizes bibliographic materials such as Choice reviews, lists of bestsellers and outstanding titles, and publishers' catalogs and emails to purchase curricular and non-curricular materials for the library's collections. Maintains knowledge of related materials and resources through navigation of subject-specific literature, webinars, and more. Participates in inventory and weeding projects occurring in assigned disciplinary subject areas. Creates documentation supporting the departmental internal/external review for assigned liaison areas. Research: Meets individually with students and faculty from liaison areas for research consultations. Answers referral questions related to assigned liaison areas. Answers directional, technical, and research questions at the service desk from Elon students, faculty, staff, and the public. Communication: Communicates with new full-time and adjunct teaching faculty in assigned liaison areas to inform them of library resources, policies, and announcements. Communicates with campus communities and departments, informing them of library materials and services and planned events. Includes academic and non-academic partners. Liaison Work: Collaborates with faculty/staff/students in assigned areas. Works on related projects and creates relevant resources (specific to these liaison areas). Attends departmental and programmatic events in assigned liaison areas to support students and faculty.
- Supports the mission of Belk Library through demonstrated commitment to the library's goals, initiatives, and service model. Public Services: Provides consistent, professional, and courteous service to Elon students, faculty, staff, library colleagues, and the public. Staffs the library service points whether in-person or virtually (desk, chat, email, zoom, drop-in, by-appointment, asynchronously, online learning, etc). Ensures that the library policies and procedures are consistently implemented and maintained. Demonstrates and incorporates diversity, equity, and inclusion values in interactions with students, faculty, staff, campus communities, and library colleagues. Demonstrates responsibility for core operations and commitment to the cross-functional service model of Belk Library. Recognizes and supports the importance of working collaboratively with building partners. Serves as Personal Librarian for first-year students enabling them to navigate library resources and services. Meets with Elon 1010 classes to build relationships with firs-year students, sends periodic emails to first-year students, and meets individually with students for research consultations. Archives: Staffs the University Archives & Special Collections Reading Room and helps facilitate research for the public, students, staff, and faculty. Answers archival requests through various modes of communication. Facilitates in-depth research in coordination with archival instruction, independent study, and campus-wide committees/units.
- Participates in professional development to develop skills, build networks, enhance the reputation of Belk Library and Elon University, and contribute meaningfully to the profession of librarianship. Participates in University governance activities as appropriate for Staff with Faculty Rank. Service to the Profession and Professional Development: Attends and presents original works at webinars, conferences, and meetings and/or publishes those works in journals, books, or other formats. Contributes to the profession as an active member of professional organizations at the local, state, regional, national and/or international level. Maintains currency in librarianship, scholarly communication, and higher education issues. Networks and collaborates with peers in academic and other libraries. Service to the University: Engages in the broader life of the Elon University community to support deeper integration of Belk Library into the life of the campus. Engages in appropriate University committee work. Attends programmatic and university events to support students and faculty. Volunteers for and/or participates in campus and community events.
