Baxter and Woodman, Inc. has an exciting opportunity for a talented and enthusiastic individual to become a vital part of our dynamic, multi-state team. We are seeking an Administrative Assistant to join our Administrative Team in our Houston, TX office. This position is responsible for supporting and coordinating administration duties and office procedures. The role of the Administrative Assistant is to create and maintain a positive work environment in their local office. As an Administrative Assistant, you will not only be the face of our company for your assigned location but also an integral member of a diverse and collaborative team spread across multiple states. The Administrative Assistant is responsible for maintaining the day-to-day organization of our Houston office, making office supplies arrangements, greeting visitors, and providing general administrative support to our Texas region. What your day-to-day will look like, what you will learn on the job:

  • Serve as front desk receptionist and answer company phones.
  • Provide support and hospitality to visitors.
  • Process incoming and outgoing mail and packages.
  • Work with Facilities to maintain office conditions and necessary repairs.
  • Coordinate supplies and refreshments for the Houston office.
  • Assist the Administrative Department Manager.
  • Prepare industry project manuals and reports.
  • Coordinate legal contracts/agreements.
  • Implement Baxter & Woodman’s procedures.
  • Assist business support groups with regional operations.
  • Plan in-house and off-site activities, like celebrations and conferences.
  • Prepare project correspondence.
  • Create and modify PowerPoint, Word, and Excel documents.
  • Coordinate supplies for projects, company meetings, or training events.
  • Deliver proposals and other client documentation, when necessary.
  • Other tasks and duties, as assigned.

Must-haves, what you will bring:

  • 3 + years of administrative experience.
  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and Adobe Acrobat.
  • Excellent communication skills, with the ability to communicate effectively with all levels of the organization.
  • Strong organizational skills, with the ability to multi-task and prioritize effectively.
  • Travel between offices in your region, when necessary, with a personal vehicle.
  • Attention to detail, accuracy, and problem-solving.

Preferred Qualifications:

  • Associate’s degree preferred.
  • Civil Engineering industry experience.
  • Paralegal or legal assistance experience.

Compensation: The pay range for this role is $23.00 - $26.00 per hour. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, and certifications.
